We collect only the information needed to provide and improve our services. Depending on how you use ITrackZen, this may include:

Account information: name, company, role, email address, phone number and login credentials.
Tracking data from devices connected to your account: location, speed, heading, ignition status, odometer, fuel level, sensor readings, alerts and trip history.
Driver information entered by your organisation, such as driver name and RFID / iButton identifiers.
Video and image data from AI dashcams and in-cabin cameras, where your organisation uses these features.
Device and technical information: IP address, browser type, device model, operating system, app version and log data.
Communications: messages, support requests and form submissions you send us, including WhatsApp and email conversations.
Website usage data collected through cookies and similar technologies, as described below.

3. Location data and mobile app permissions

The core purpose of ITrackZen is to display the location of vehicles and assets that carry tracking devices. Location data from those devices is collected by the device, not by your phone.

Our mobile applications request device permissions only when they are needed for a feature you choose to use, for example notifications for alerts, or approximate location to show your own position on a map. You can change these permissions at any time in your phone settings. We do not use your phone's location in the background for advertising.

4. How we use information

We use personal information to:

provide, operate, secure and support the platform, apps and tracking services;
display maps, alerts, reports, video events and fleet analytics to authorised users;
send service messages such as alerts, account notices and security warnings;
respond to enquiries, demo requests and sales requests;
maintain, troubleshoot and improve our products, and prevent fraud and abuse;
comply with legal obligations and enforce our terms.

5. Legal bases

Where data protection law requires a legal basis, we rely on performance of our contract with you or your organisation, our legitimate interests in operating and securing the service, compliance with legal obligations, and your consent where we ask for it, for example for non-essential cookies.

6. Customer-controlled data and drivers

Fleet and tracking data in a customer account is controlled by the customer (the company or individual that owns the account). In most cases LibDex Ltd acts as a service provider processing that data on the customer's behalf and under its instructions.

Customers are responsible for informing their drivers and employees about vehicle tracking and any camera or driver-monitoring features, and for having a lawful basis to use them. Drivers who have questions about tracking should contact their employer first.

7. Sharing of information

We do not sell personal information. We share it only as follows:

With authorised users of the same customer account, according to the roles that the customer sets.
With trusted service providers that help us run the service, such as cloud hosting, mapping, SMS or email delivery and analytics, under confidentiality and data-protection obligations.
With authorities or other parties when required by law, to protect rights, safety and security, or to investigate fraud.
In connection with a merger, acquisition or sale of assets, with notice where required.

8. Cookies and analytics

Our website uses essential cookies for security and basic functionality. With your consent, we may also use analytics and advertising measurement tools such as Google Analytics and Meta (Facebook) Pixel to understand how the website is used and to measure marketing. We keep personal information only as long as necessary for the purposes described in this policy. Tracking history and video are retained according to the plan and settings of the customer account. When an account is closed or a valid deletion request is approved, we delete or anonymise personal information within a reasonable period, except where we must keep it to meet legal, accounting or security obligations.

10. Security

We use HTTPS encryption in transit, access controls, role-based permissions and regular backups to protect information. No system is completely secure, so we also encourage customers to use strong, unique passwords and to remove access for former staff promptly.

11. International transfers

Our customers operate in many countries and our service providers may process data in other countries. Where required, we use appropriate safeguards so that personal information receives a comparable level of protection.

12. Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict certain processing, and to withdraw consent. ITrackZen services are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with information, contact us and we will delete it.
